Compensatory off also known as Comp off, is a type of leave granted by an employer when an employee works on a holiday or for an extra working hour over and above their normal working shift. An employee can work on Sunday or any other non-working day and get compensated for it in the form of leave. Compensatory off leave is provided to reward the employee for the extra effort they put in, for the organization’s growth. It motivates employees to maximize their efforts and even enjoy their personal time whenever needed.
Purpose
The Compensatory Off Policy ensures that employees who work beyond their regular hours, including holidays or non-working days, are fairly compensated with time off. This policy promotes work-life balance by providing guidelines on how compensatory time off is granted and used.
Scope
This policy applies to all eligible employees who are required to work overtime, on public holidays, or during designated non-working days.
Policy Guidelines
Eligibility
Employees are eligible for compensatory off if they work:
Overtime hours beyond their regular schedule.
On public holidays or designated non-working days, as requested by their manager or due to operational needs.
Prior approval from the employee’s manager is required for all overtime work to qualify for compensatory off.
Compensatory Time Calculation
Overtime Hours: One hour of compensatory time off is earned for every hour of approved overtime worked.
Holidays/Non-Working Days: Double the hours worked on holidays or non-working days will be credited as compensatory time off.
Procedure for Requesting Compensatory Off
Employees must submit their compensatory off request within a specified period after the overtime work is completed (e.g., within one week).
Requests should be submitted through the company’s designated platform or form, providing details of the extra hours worked and the preferred date for time off.
Managers will review requests and approve them based on business needs.
Approval Process
Compensatory time off must be approved by the employee’s manager, taking into consideration the team’s workload and coverage needs.
Employees will receive written confirmation of their approved time off.
Usage of Compensatory Off
Employees should utilize their compensatory time within a specific period, typically within three to six months of earning the time off.
Unused compensatory time will not carry over to the next year unless stated otherwise in the employment contract.
Record Keeping
The HR department will track all compensatory time accrued and taken by employees.
Employees are encouraged to monitor their compensatory off balance and ensure requests are submitted promptly.
Restrictions
The company will provide a safe and well-maintained vehicle for eligible employees.
The company will cover costs associated with work-related use, such as fuel, insurance, maintenance, and repairs.
The company will inform employees of any restrictions or limitations regarding vehicle use, particularly for leased cars.
Disciplinary Actions
Compensatory off cannot be converted into cash or monetary payment, except in cases where local labor laws mandate it.
Accrued compensatory time must be used within the timeframe specified and will not be paid out at the end of employment unless legally required.
Disciplinary Measures
Employees found abusing the compensatory off policy, such as falsely reporting overtime, may face disciplinary action, up to and including termination.
Review and Updates
This policy will be reviewed annually or as needed to reflect changes in legal requirements or organizational policies. All employees will be informed of any changes made to the policy.
