What is Form 16 ?

Form 16 is an official certificate issued by employers in India to their employees, providing details of the salary paid and the Tax Deducted at Source (TDS) during the financial year. It serves as proof of income and tax payment for employees and is an essential document for filing income tax returns (ITR).

Key Components of Form 16:

Form 16 is divided into two parts: Part A and Part B.

1. Part A:

  • Issued by the Employer: Contains information related to TDS.

  • Details Included:

    • Employer's name, address, and TAN (Tax Deduction and Collection Account Number).

    • Employee's name, address, and PAN (Permanent Account Number).

    • Summary of TDS deducted and deposited to the government.

    • Assessment year (e.g., 2024–25 for income earned in FY 2023–24).

    • Period of employment with the employer.

2. Part B:

  • Prepared by the Employer: Includes detailed salary and deduction information.

  • Details Included:

    • Breakdown of salary components:

      • Basic salary, allowances (HRA, special allowances, etc.), and perquisites.

    • Exemptions under Section 10 (e.g., HRA, LTA).

    • Deductions under Chapter VI-A:

      • Section 80C: Investments in PPF, LIC, ELSS, etc.

      • Section 80D: Health insurance premiums.

      • Other applicable deductions.

    • Net taxable income and tax liability.

Purpose of Form 16:

  • Income Tax Filing: Helps employees file accurate ITRs by providing salary and tax details.

  • Proof of Tax Deduction: Serves as evidence of TDS deposited with the government.

  • Loan Applications: Often required as proof of income for loan or credit card applications.

Eligibility for Form 16:

  • Issued to employees if TDS has been deducted from their salary during the financial year.

  • Employers are legally required to provide Form 16 if TDS is applicable.

How to Use Form 16:

  • Use the salary details in Part B to compute total income.

  • Match TDS details in Part A with Form 26AS (TDS credit statement).

  • Enter the information while filing the ITR.

  • Issuance Deadline: Employers must issue Form 16 to employees by June 15 of the assessment year.
